When you're searching for an event venue, it's natural to look at the rental price first.

As an event venue owner, we understand that clients have budgets to manage. We also understand that from the outside, it can be easy to look at an event space and think the rental price is simply paying for the hours you spend inside the room.

But that's not how operating a private event venue works.

The hours you spend celebrating are only one small part of the overall cost of running the business.

Another ongoing expense is the care and cleaning of the linens used throughout the venue. TD Event Space provides items such as tablecloths, chair covers, cloth napkins, and other event linens, and every event means those items need to be cleaned and prepared for the next client.

After an event, linens have to be collected, sorted, inspected for stains or damage, washed, dried, and properly stored.

Depending on the event, tablecloths and napkins can come back with food, beverages, makeup, frosting, grease, or other stains that require additional attention.

There is also the cost of laundry supplies, water, electricity, equipment, labor, and replacing linens that eventually become worn or damaged. Keeping a large inventory of clean, presentable linens available means we're continually investing in them rather than simply purchasing them once and considering the expense finished.

These are the kinds of behind-the-scenes expenses that aren't always visible when you walk into a beautifully prepared event space. The clean tablecloths, fresh chair covers, crisp napkins, and properly maintained linens all require time, labor, and money to keep them event-ready.

✨ The Small Details Add Up: Batteries, Décor, and Replacements

Even some of the smallest details throughout an event space come with ongoing costs. For example, the Twinkly lights used as part of our table décor require batteries, and those batteries have to be replaced regularly to keep the lights working properly and the tables looking their best for each event.

Then there is the reality of wear and tear on decorative items.

Centerpieces and other décor are handled, moved, transported, and used repeatedly. Occasionally, something gets knocked over, damaged, or broken and has to be replaced. While one replacement may not seem like a significant expense, those costs add up over time.

We continually have to reinvest in the small details that help keep TD Event Space looking polished and ready for every client.

Batteries, replacement centerpieces, décor repairs, and other seemingly minor expenses are all part of maintaining the overall experience our clients expect.

These are expenses that aren't necessarily visible when you arrive at a beautifully prepared venue—but they are part of what it takes to keep that venue beautiful and event-ready.


✨ Sound Equipment Is an Expense Too

Music and announcements are a major part of many events.

A venue that provides sound equipment is taking on the cost of purchasing, maintaining, storing, and replacing that equipment.

TD Event Space provides a Bluetooth full sound speaker with microphone.

That can be used for:

  • Music

  • Announcements

  • Speeches

  • Presentations

  • Background entertainment

Again, the equipment is there before your event begins and remains part of the venue's operating costs afterward.


✨ Catering Amenities Require Equipment and Space

Food service is another area where venue amenities can make a difference.

Prepared food can be warmed onsite, although cooking is not permitted.

TD Event Space also provides a Private Vanity Suite.

This gives guests a dedicated place to freshen up, make adjustments, or take a moment away from the main event room.

Again, there's more involved than simply having an extra room.

That space has to be maintained, cleaned, furnished, and kept ready for guests.


✨ Vendor Costs for Special Requests and Upgrades

Not everything included in an event package is something TD Event Space keeps in its own inventory. Some client requests require us to rent items or services from outside vendors, and those costs become part of the expense of providing the experience.

For example, if a client wants cloth napkins in a specific color that we don't normally keep in stock, we have to purchase or rent those napkins from a vendor specifically for their event. The same applies to the colored paper placemats included with our Celebrations Package. When we need a particular color, those supplies have to be purchased for the event.

Some larger décor and entertainment elements also require outside vendors. When a client requests a throne chair, we pay a vendor to rent that chair for the event. We don't simply own an unlimited inventory of every possible color, style, and specialty item a client might want.

The same is true of our 3-hour Premium Photo Booth Experience. Providing that experience involves paying the photo booth vendor for the equipment and for the professional who operates the booth for the full three hours. The cost isn't just the physical photo booth—it includes the service and the person who is there to manage it during the event.

These vendor expenses are important to understand because when we offer an upgraded experience, we're often taking on a real expense before the client ever walks through the door. We coordinate with the vendor, arrange the rental or service, make sure everything is available for the event, and absorb those costs as part of delivering what was promised.

That's why package pricing isn't based simply on the number of hours someone has access to the room. It reflects the entire experience we're providing—from the physical venue and staffing to the linens, décor, equipment, specialty rentals, and outside professional services that may be required for a particular event.


✨ Staff and On-Site Assistance Matter

A venue isn't just a building.

People are part of the operation too.

There are responsibilities before, during, and after events.

Someone needs to help make sure the venue is ready.

Someone needs to be available during the event.

Someone needs to make sure venue policies are followed.

Someone needs to address venue-related questions or issues.

TD Event Space provides an on-site attendant to help support the venue experience.

That is part of the service clients are receiving when they rent the space.


✨ After-Hours and Weekend Staffing

Another operating expense that guests may not immediately consider is after-hours and weekend staffing.

TD Event Space is located inside a larger community building, and the building's main entrance doors are locked after 6 PM and throughout the weekend. Since many private events take place during evenings and weekends, we must have a doorman available to let our clients and their guests into the building and help ensure controlled access to the venue.

Providing this service requires more than simply having someone available on event days. It means budgeting for staffing, salary, payroll expenses, scheduling, and weekend and evening availability.

For a small private event venue, these expenses matter. We want our clients to be able to arrive at their event without wondering how they'll get into the building or whether someone will be there to assist them.

The doorman is just one example of the behind-the-scenes costs that go into operating TD Event Space and providing a smooth experience for our clients. Our pricing reflects not only the use of the physical space, but also the people and services required to keep the venue accessible, prepared, and operating properly.


✨ Security Can Be Part of the Cost of an Event

Certain events require additional staffing.

For example, when alcohol is served at TD Event Space, a security guard and licensed bartender are required, with those professionals selected by the venue.

That's another example of why the rental price isn't the only cost associated with operating an event.

There are safety, staffing, and operational considerations that have to be accounted for when hosting different types of gatherings.


✨ Technology and Business Systems Cost Money Too

There's another side of running an event venue that guests never see.

The technology behind the business.

That can include:

  • Website hosting

  • Scheduling software
